Roster & Attendance

Know exactly who showed up to every class or session. Mark attendance from your dashboard, or set up a self-service kiosk so clients check themselves in — by name or QR code.

Roster and attendance tracking is available on the Business and Pro plans. Upgrade from your dashboard under Billing → Subscription.

Opening the Roster

From your dashboard, go to Roster in the top navigation. You'll see today's classes grouped into three columns — Live now, Up next, and Ended.

Click Open Roster on any session card to open the full client list for that session.

Marking attendance

Inside a session's roster, each booked client appears as a row. You have three ways to mark their status:

  • Tap the circle — toggles between unmarked and Attended.
  • Tap the ⋮ menu on any row — lets you choose Attended, No-show, or Late cancel.
  • Mark all attended — the button in the summary bar marks every unmarked client as attended in one tap. Useful at the end of a full class.

Status colours: green = Attended, red = No-show, amber = Late cancel. Tap the circle again or use the ⋮ menu to change or reset any status.

Auto-mark after a session ends

If a session ends and some clients are still unmarked, Whoopa automatically marks them as Attended 60 minutes after the session's end time. This runs every 15 minutes in the background and only touches bookings that have not been manually marked — it will never overwrite a status you've already set.

You can always correct any auto-marked status manually at any time.

Self check-in kiosk

For group classes, you can hand a tablet or phone to clients and let them check themselves in. From the session card, tap Self check-in to expand the options, then choose a mode:

Name-list kiosk

Opens a full-screen page showing all booked clients on the left side. Clients find their name and tap it — the card animates across to the right side, confirming they're checked in. Staff can use the right-side cards to mark someone as No-show or Late cancel, or tap the undo button to move a client back to unchecked.

QR code kiosk

Displays a large QR code on screen. Clients scan it with their own phone's camera — no app download needed. They're taken to a simple page where they enter their name or email to check in. Ideal for displaying on a screen or TV at the entrance.

PIN-protected kiosk exit

Before either kiosk mode starts, you'll be prompted to set a 4-digit PIN for the session. This PIN is stored only for the current kiosk session and is never saved anywhere.

While the kiosk is active, clients can check themselves in freely. If anyone taps Exit kiosk, a PIN entry screen appears. Only someone who knows the PIN — i.e. staff — can exit back to the dashboard. This prevents clients from accidentally or intentionally accessing your booking data.

  • Wrong PIN — the screen shakes and clears. The kiosk stays locked.
  • Correct PIN — you're returned to the dashboard roster view.

Attendance in Statistics

Once attendance is being marked, two new sections appear on your Statistics page:

  • Attendance — total attended, no-shows, late cancels, and your overall attendance rate for the selected period.
  • Top No-show Clients — clients with the highest no-show rate, filtered to clients with at least 2 bookings and 1 no-show. Useful for spotting patterns and deciding whether to follow up.

Both sections are hidden if no attendance has been marked in the selected date range — they only appear when there's data to show.
